Jobber + QuickBooks Online Sync: What It Does, What It Doesn't, and the Errors to Expect (2026)

Jobber's new QuickBooks Online sync is one-way, turns one-off line items into "Custom Service", and rejects $0 invoices. Here's what syncs, what doesn't, and how to fix the most common errors, straight from Jobber's help center.

If you run Jobber for scheduling and quoting and QuickBooks Online for your books, the sync saves you from retyping every invoice. It also has a few rules that surprise people. This guide covers what Jobber's own help center says about the new QuickBooks Online integration, the quirks worth knowing before you connect, and the errors you're most likely to see. Everything below comes from Jobber's help articles, last updated October 29, 2026 and checked November 3, 2026.

First, check which integration you have

Jobber's help center now has two sets of articles: one for the new QuickBooks Online integration, which it says is "gradually being rolled out to select accounts," and one for the legacy integration. The legacy version was two-way and had a "Sync now" button. The new one is one-way and runs automatically. If your screens don't match what's described here, you're probably on the legacy version, so use Jobber's legacy articles or ask Jobber support.

The integration is also plan-dependent. Jobber says it's "available on select plans," and in our Jobber Core vs Connect vs Grow guide we found QuickBooks Online and Xero sync starting on Connect. Jobber doesn't sync with QuickBooks Desktop at all.

What syncs, and in which direction

ItemNew integrationGood to know
ClientsJobber to QuickBooksSync when created or when first used on an invoice, payment or timesheet. Deleting a phone number or email in Jobber doesn't delete it in QuickBooks.
Products and servicesJobber to QuickBooksServices become Services, products become Non-inventory Products. Edit them in Jobber, not QuickBooks.
InvoicesJobber to QuickBooksSync when created or after they're marked as sent, your choice. Edits made in Jobber after the first sync carry over.
Payments, refunds, tips, payoutsJobber to QuickBooksSync when collected, or not at all. Non-Jobber-Payments payments land in Undeposited or Unapplied funds until you reconcile.
TimesheetsJobber to QuickBooksSync on approval. Needs QuickBooks Payroll turned on, and employee names must match.

The "Paid" status on invoices no longer syncs back from QuickBooks to Jobber. If a client pays you outside Jobber, record the payment in Jobber too.

The gotchas worth knowing before you connect

1. One-off line items become "Custom Service"

QuickBooks doesn't support the custom line items you type directly onto a Jobber quote, job or invoice. Those sync under a service called Custom Service, with the Jobber line item name copied into the description. Your invoices are correct, but your QuickBooks sales-by-product report will lump all of them together. If you charge for something more than a couple of times, add it to Settings, Products and Services in Jobber first.

2. Edit in Jobber, never in QuickBooks

Because the sync is one-way, Jobber warns that changing a client or item in QuickBooks can be overwritten by Jobber. Jobber also can't delete anything in QuickBooks. To remove a synced invoice or item, delete it in both places.

3. Names must be unique in QuickBooks

QuickBooks needs unique client names, unique product and service names and unique invoice numbers. Two "John Smith" clients, or a product that already exists under the same name, will throw an error until you rename one. For matching clients, Jobber's suggested fix is to temporarily rename the Jobber client, let it sync, rename it back, and click Yes when QuickBooks offers to merge.

4. $0 invoices and big discounts get rejected

Jobber lets an invoice total be $0.00 or less. QuickBooks doesn't. You'll see a business validation error until the total is at least $0.01. A discount larger than the subtotal causes the same error.

5. Rounding and discounts can differ by pennies

Jobber keeps all decimals and rounds only the final invoice total. QuickBooks rounds at each line item. With a mix of taxable and non-taxable lines plus a discount, Jobber applies the discount to non-taxable lines first while QuickBooks spreads it proportionally, so the totals can differ slightly. This shows up as a warning, and the invoice still syncs. Edit the QuickBooks total if you want the two to match.

6. Tax rates have to match

If a tax rate on a Jobber invoice doesn't exist in QuickBooks, you'll get a "Tax rate missing" error, or a warning that another rate was substituted. A non-taxable line also needs a 0% tax code in QuickBooks. If you use QuickBooks Automatic Sales Tax, Jobber shows its rate suggestions as warnings and offers an "Add tax rates to Jobber" button.

7. Customized QuickBooks items can break invoices on the legacy sync

On the legacy integration, Jobber's help center says items set up as sub-items, categorized, or tied to an income account other than "Sales" can stop invoices from syncing. On the new integration you can set an income account on products and services in QuickBooks, so check which version you have before changing your chart of accounts.

8. Payout syncing needs a checking account

To sync Jobber Payments payouts and fees, QuickBooks needs a bank account set up as the "Checking" detail type, and an "Undeposited Funds" asset account for payments. Missing accounts show up as "Bank account not found" or "Undeposited funds account not found" errors.

9. Payroll timesheets have strict rules

Timesheets only sync if QuickBooks Payroll is enabled and each employee's name in Jobber matches QuickBooks (a nickname instead of a legal first name can break it). QuickBooks also doesn't support entries that cross midnight, so split a 10:00pm to 3:00am shift into two entries.

Common errors and what Jobber says to do

  • "Client already exists in QuickBooks": rename one of the two clients (a middle initial works), or merge them using the temporary-rename trick above.
  • "Duplicate product or service" or "Product or service already exists": rename the item in Jobber or QuickBooks so every name is unique.
  • "Invoice number already in use": change the Jobber invoice number to one that isn't used in QuickBooks yet.
  • "Product or service not in sync" or "Missing client in QuickBooks": an upstream client or item has its own error. Fix that first, then click Retry on the invoice.
  • "TxnID Cannot Be Linked" on a payment: the invoice it applies to hasn't synced or was deleted in QuickBooks. Jobber suggests applying the payment to the client account balance, letting it sync, then reapplying it to the right invoice in both programs.
  • "The account period has closed": QuickBooks has a closed accounting period, so Jobber can't write into it. Reopen the period or enter the change in QuickBooks.
  • "Your Jobber account is no longer connected": disconnect and reconnect the QuickBooks Online app from Jobber's App Marketplace. One cause Jobber names is that the user who set up the integration was deactivated.

If several things fail at once, Jobber recommends resolving them in this order so errors don't cascade: clients, then products and services, then invoices, then payments, refunds and tips, then payouts. The dashboard also lets you retry or ignore errors in bulk.

A safe way to turn it on

  1. Before connecting, clean up duplicate client names and duplicate item names in both Jobber and QuickBooks.
  2. Make sure the tax rates and a 0% tax code in QuickBooks match the ones you use in Jobber.
  3. On the first connection, decide whether to run the one-time import of QuickBooks clients and items into Jobber. It only goes in one direction and skips items that already exist in Jobber.
  4. Send one test invoice and one test payment and check them in QuickBooks before you turn on everything else. You can backdate older invoices later with "Sync older items to QuickBooks"; payments require invoices to sync too.
  5. Choose your invoice setting. "When created" keeps QuickBooks current, while "after marked as sent" avoids pushing drafts.

Frequently asked questions

Does Jobber sync both ways with QuickBooks Online?

Not with the new integration. Jobber's help center says it syncs one way, from Jobber to QuickBooks, that Jobber is the source of truth for clients and products and services, and that the "Paid" status on invoices no longer syncs back to Jobber. Jobber's older (legacy) integration was two-way, so check which one your account uses.

What does Jobber send to QuickBooks Online?

Clients, products and services, invoices, payments (including Jobber Payments payouts, tips and refunds) and timesheets. You can choose when invoices sync (when created or after they're marked as sent) and whether payments sync when collected or not at all. Timesheets sync when you approve them in Jobber, and QuickBooks Payroll has to be enabled.

Why do my invoice line items show up as "Custom Service" in QuickBooks?

QuickBooks doesn't support one-off custom line items. Jobber syncs any line item that isn't in your Products and Services list under a service named Custom Service and puts the Jobber line item name in the item description. To get clean reports, add the items you use repeatedly to Settings, Products and Services in Jobber.

Why won't my $0 invoice sync to QuickBooks?

Jobber allows invoice totals of $0.00 or less, but QuickBooks only accepts positive totals. Jobber's help center says to update the total to at least $0.01. The same applies when a discount equals or exceeds the subtotal.

Does Jobber sync with QuickBooks Desktop?

No. Jobber's help center says the integration is only with QuickBooks Online. You can move client lists from QuickBooks Desktop by CSV, but that's a one-time manual import, not an ongoing sync.

Which QuickBooks Online plans work with Jobber?

Jobber's help center lists QuickBooks Simple Start, Essentials, Plus and Advanced in the United States (EasyStart, Essentials, Plus and Advanced in Canada). On the Jobber side the integration is listed as available on select plans, and our Jobber plan guide shows QuickBooks sync starting on Connect.

What should I do if an invoice shows "Invoice number already in use"?

QuickBooks needs a unique number for every invoice. Jobber's fix is to change the invoice number in Jobber to one that isn't used in QuickBooks yet. Jobber counts upward from the highest invoice number in your account, so the next invoice continues from that new number.
