HVAC is one of the trades where software choice matters most. You're juggling emergency no-heat calls, seasonal tune-ups, install quotes with several equipment options, and (if you're smart) a base of maintenance-agreement customers who pay you every year. Jobber, Housecall Pro and Workiz all claim to handle that. The real question for a small shop is which plan you'd need for the HVAC features you care about, and what that plan costs.

This guide is written for a solo HVAC tech and a shop with 2 to 8 people. Every price comes from the vendor's own website, checked on October 19, 2026. These are regular prices. All three vendors run signup promos, so your first months may cost less.

What a small HVAC business actually needs

  1. Fast quoting with options. Replacement jobs sell better when the homeowner can pick between two or three systems. Look for optional line items or a proposal tool.
  2. Maintenance agreements. Spring and fall tune-up memberships smooth out cash flow in the shoulder seasons. You want visits to schedule themselves and the agreement to bill automatically.
  3. Price book or flat-rate pricing. Techs quoting the same capacitor swap at three different prices costs you money and trust.
  4. Dispatch that survives a heat wave. When ten no-cool calls land at once, you need to see who's closest and move jobs around from your phone.
  5. Getting paid on site. Card on the spot, financing for big installs, and bank transfers for commercial customers.

Jobber for HVAC: cheapest entry, maintenance via recurring jobs

Jobber prices by team size, and every plan comes in three billing options. Here are the regular prices from the pricing page:

  • Core (1 user): $29/mo annual, $39/mo with a 1-year commitment, $49/mo with no commitment. Online booking, quotes, invoices with online payments, a simple website and reporting.
  • Connect: 1 user is $99 annual / $119 / $139. 5 users is $149 / $169 / $199. Adds automated client reminders, automatic payment collection, checklists, automated quote and invoice follow-ups, QuickBooks Online sync, and time and expense tracking.
  • Grow: 1 user is $149 annual / $169 / $199. 5 users is $229 / $259 / $299. Adds job costing, optional line items for upsells, rich quotes with visuals and reviews, automatic time tracking, two-way SMS and custom workflow automations.
  • Plus starts with 5 users at $399/mo annual and is sold through Jobber's sales team.

For HVAC, Jobber's HVAC page says recurring maintenance jobs are "scheduled and invoiced" automatically, and Connect adds automatic card charging for recurring work. That covers a simple tune-up program. What Jobber's pricing page doesn't list is a dedicated membership or service-agreement feature, a flat-rate price book, or equipment tracking per unit. If you plan to sell a lot of memberships, test how Jobber handles renewals during the free trial.

Best fit: a solo tech or a 2 to 3 person shop that mostly does repair calls and replacements, wants the lowest monthly bill, and values a real month-to-month option. Try Jobber free for 14 days

Housecall Pro for HVAC: the most HVAC features at a published price

  • Basic (1 user): $59/mo annual, $79/mo monthly. Includes online booking, scheduling and dispatch, estimates and invoicing, payments and consumer financing, a price book, job costing and review management.
  • Essentials (5 users): $149/mo annual, $189/mo monthly. Adds routes, flat-rate pricing, checklist automations, photo reports, employee GPS tracking, commissions and QuickBooks Online sync.
  • MAX (8 users): $299/mo annual, $329/mo monthly, extra users $35/mo. Adds a sales proposal tool, Recurring Service Plans, route optimization with live traffic, open API access and a dedicated onboarding specialist.

Housecall Pro is the only one of the three that publishes the price of the plan with maintenance agreements. Financing and job costing on the entry plan are useful for HVAC too, since a $12,000 system swap often needs financing, and job costing shows whether your install crews are actually profitable. The main catch is that Recurring Service Plans sit on MAX. A solo tech who wants memberships is paying for an 8-user plan.

Housecall Pro lists add-ons such as CSR AI, Pipeline, Payroll, Voice and VGPS/Dashcams, but doesn't publish their prices on the pricing page. Card processing is "as low as 2.59%," so ask what rate you'd actually get.

Best fit: a 3 to 8 person shop that sells maintenance agreements and good-better-best replacement proposals. Try Housecall Pro free for 14 days

Workiz for HVAC: built around the phone, priced by quote

Workiz has three plans: Standard, Pro and Ultimate. When we checked, the pricing page showed features but no dollar amounts. Workiz's own llms.txt file (a summary the company publishes for AI assistants) lists Standard at $275/mo and Pro at $325/mo billed annually, each for up to 5 users, with Ultimate custom-priced. The pricing page says annual billing saves "$400+". Treat those as starting points and get your quote in writing.

  • Standard: scheduling, jobs, estimates and invoices, 5 automations, online payments with estimate deposits, consumer financing and Tap to Pay, a client portal, a price book, recurring jobs, online booking, QuickBooks Online sync, and fleet and team location tracking.
  • Pro: adds Genius Leads and Genius Scheduling (AI tools), performance pay, custom reports, multi-location management and 10 automations.
  • Ultimate: adds service plans, flat rate, equipment tracking, sales proposals, inventory, checklists, multi-day jobs, purchase orders, Zapier, an open API and 30 automations.

Workiz's differentiator is phone handling. Genius Phone (integrated phone system, call tracking, two-way texting) and Genius Answering (AI that answers calls and messages 24/7) are sold separately, and their prices aren't on the pricing page. For HVAC, the frustrating part is that the features HVAC owners ask about most (service plans, flat rate and equipment tracking) are all on Ultimate.

Best fit: a shop whose growth depends on answering every inbound call, that's comfortable with quote-based pricing. Workiz's trial is only 7 days, so have real jobs ready before you start it. See Workiz plans

What a 4-person HVAC shop would pay

Say you have an owner, two techs and an office person: 4 users. At regular annual prices:

  • Jobber Connect (5 users): $149/mo. Jobber Grow (5 users) if you want job costing and optional line items: $229/mo.
  • Housecall Pro Essentials (5 users): $149/mo, with flat-rate pricing included. MAX (8 users) if you sell memberships: $299/mo.
  • Workiz Standard (5 users): $275/mo per its llms.txt, before any phone or answering add-ons.

Card fees matter as much as the subscription. On $40,000 a month of card payments, each 0.3 percentage point difference is about $120 a month. Ask every vendor for its exact rate table before you sign.

Which should you choose?
